Intake Project Manager

The vendor shall provide staffing services to support the DC Knowledge Management (DCKM) Intake program. Vendor support staff shall provide multi-disciplinary services focused on migrating and managing documents within an Electronic Document Management System (EDMS). This service includes assisting in the management of taxonomy and metadata requirements, providing support for central document control needs, and executing bulk data migrations and metadata updates. Additionally, this role will support project and change management initiatives to successfully integrate AI into operational processes and tools.

The vendor shall provide personnel capable of:

  • Understanding construction and design documents (e.g., models, drawings, specifications, submittals), alongside document management workflows, best practices, and change control for construction and/or engineering.
  • Working with key stakeholders to obtain business requirements for successful document migrations to the EDMS.
  • Executing bulk data migration and metadata update projects using custom tools and applications.
  • Maintaining high data quality for existing dashboards, tools, and custom applications within EDMS applications.
  • Demonstrating strong communication skills, both verbal and written, and possessing strong attention to detail regarding metadata and taxonomical structures.
  • Effectively organizing several projects at once within project management applications like Asana or Buganizer.
  • Supporting change management efforts for the integration of AI technologies into established document workflows.

Primary service areas and deliverables include:

  • EDMS Content Management, Data Migration, & Access Management
    • Support EDMS content management, data migrations, and access control processes in alignment with DC Knowledge Management procedures and best practices.
    • Manage migration and document update processes (both singular and bulk), including requirements gathering, outlining metadata requirements, processing migrations, and performing quality checks for metadata, folder placement, and workflow status.
  • Quality Assurance
    • Manage and update the DC Knowledge Management trackers used to capture the Data Center Intellectual Property Lifecycle.
    • Conduct routine inspections and adjustments of EDMS documentation, metadata, folder structures, and dissemination compliance.
  • Project Management & AI Integration
    • Support the EDMS Lead in the development of new processes, project development, training creation, and documentation management.
    • Provide actionable recommendations for process and technical improvements.
    • Highlight opportunities to integrate AI into existing operational processes, document workflows, and data pipelines.
    • Execute testing and consolidate feedback on new tools, processes, and solutions to ensure operational readiness.

Required vendor expertise includes:

  • Education:
    • Associates degree or equivalent work experience in information technology, computer science, business administration, construction management, or related fields.
  • Experience:
    • Prior experience in a construction, engineering, or equivalent product development team with proven proficiencies in collaboration, communication, document management workflows, and best practices.
    • Experience with routine data manipulation, cleansing, and formatting in relational electronic document management systems (e.g. AODocs), taxonomy development, and document tagging.
  • Analytical Skills:
    • Ability to quickly recognize patterns and errors in large datasets and determine a path to resolution.
    • Ability to work within the Google Workspace suite, specifically with Google Sheets, Docs, and Slides.

Desired vendor capabilities include:

  • Education:
    • Bachelors in information technology, computer science, business administration, construction management, or related fields.
  • Technical Plus:
    • Experience involving SQL, advanced spreadsheet macros and/or Google App Script.
    • Familiarity with AI tools, prompting, or automation frameworks to assist in continuous operational improvement.
  • Specialized Experience:
    • Experience as a construction project engineer and in project documentation closeout.
    • Proven track record in organizational change management and software/tooling deployment.
